These Terms & Conditions (“Terms”) govern your use of My Learning Journal (“the App”, “the Service”), operated by iG Education Limited, a company registered in the United Kingdom.
By accessing or using My Learning Journal, you agree to be bound by these Terms. If you do not agree, you must not use the Service.
1. Definitions
- “We”, “Us”, “Our” – iG Education Limited
- “You”, “User” – any teacher, school, parent, or individual using the Service
- “Pupil Data” – any information relating to a pupil, including names, photos, reflections, or identifiers
- “Content” – any text, images, audio, or materials uploaded or created within the Service
- “School Account” – an account created by or on behalf of a school
- “Teacher Account” – an account created by an individual teacher
2. About My Learning Journal
My Learning Journal is a digital tool that allows pupils to record learning entries, upload photos, add voice reflections, and track progress over time. Teachers can review entries, provide feedback, and support pupil reflection. Parent access is optional and controlled by the teacher or school.
The Service is designed for educational use and is not intended for children to create accounts independently.
3. Eligibility
To use My Learning Journal, you must:
- Be at least 18 years old
- Be a teacher, school staff member, or parent/carer
- Have permission from your school (if applicable)
- Agree to these Terms
Pupils do not create accounts themselves.
4. User Responsibilities
You agree to:
- Use the Service only for lawful educational purposes
- Ensure any pupil data you upload is accurate and appropriate
- Keep login details secure
- Not share access codes publicly
- Not misuse, copy, or reverse‑engineer the Service
- Comply with your school’s safeguarding and data protection policies
You are responsible for all activity under your account.
5. School Responsibilities
Schools using My Learning Journal agree to:
- Obtain appropriate consent from parents/carers where required
- Ensure staff understand how to use the Service safely
- Manage pupil entries responsibly
- Notify us of any suspected data breach
- Ensure compliance with UK GDPR and local data protection laws
Schools act as Data Controllers for pupil data. iG Education Limited acts as a Data Processor.
6. Parent Access
Teachers may choose to share pupil journal entries with parents via:
- QR codes
- Secure links
- Printed login details
Parents agree not to:
- Share login details with others
- Upload inappropriate content
- Misuse or distribute pupil entries or teacher feedback
Parent access is optional and controlled entirely by the teacher or school.
7. Acceptable Use Policy
You must NOT:
- Upload harmful, offensive, or discriminatory content
- Upload images or audio without appropriate permission
- Attempt to access accounts that are not yours
- Use the Service for commercial advertising
- Introduce malware or attempt to disrupt the Service
Violation may result in account suspension or termination.
8. Data Protection & Privacy
My Learning Journal processes personal data in accordance with:
- UK GDPR
- Data Protection Act 2018
- Our Privacy Policy
We process:
- Teacher account information
- Pupil names or identifiers
- Photos, reflections, and voice notes
- Parent access details (if used)
We do not sell or share personal data with third‑party advertisers.
All data is stored securely and encrypted in transit and at rest.
9. Content Ownership
- You retain ownership of all content you upload.
- By uploading content, you grant us a licence to store and process it solely for the purpose of delivering the Service.
- We do not claim ownership of pupil data.
- You are responsible for ensuring the content you upload complies with school policies.
10. Storage & Backups
We take reasonable steps to:
- Prevent data loss
- Maintain uptime
- Protect against unauthorised access
However, we cannot guarantee uninterrupted service.
11. Subscription, Pricing & Free Access
My Learning Journal may offer:
- Free access for schools
- School‑wide access codes
- Optional paid features in the future
If your school has been provided with a free access code, it is valid for the academic year unless otherwise stated.
Access codes must not be shared publicly.
12. Termination of Accounts
We may suspend or terminate accounts if:
- Terms are violated
- Harmful or illegal content is uploaded
- A school requests account removal
- The Service is misused
You may request account deletion at any time.
13. Service Availability
We aim to provide a reliable service but cannot guarantee:
- Continuous uptime
- Error‑free operation
- Compatibility with all devices
We may update, modify, or discontinue features at any time.
14. Limitation of Liability
To the fullest extent permitted by law:
- We are not liable for indirect or consequential losses
- We are not responsible for school misuse of pupil data
- We are not liable for content uploaded by users
- Our total liability is limited to the amount paid for the Service (if any)
Nothing in these Terms excludes liability for fraud or negligence.
15. Safeguarding
My Learning Journal is designed to support safe communication. We do not monitor content in real time.
Schools are responsible for:
- Ensuring appropriate use
- Monitoring pupil entries
- Reporting safeguarding concerns
We will cooperate with lawful safeguarding investigations.
16. Changes to These Terms
We may update these Terms from time to time. We will notify users of significant changes via:
- In‑app notifications
- Website updates
Continued use of the Service constitutes acceptance of updated Terms.
